Ways to get access

  • Automatic assignment — Microsoft 365 Copilot Premium for eligible Teaching Staff, Non-Teaching Terms A/HA staff with a current appointment, and University Management, following advance notification and a three-calendar-day opt-out period.
  • Individual application — where individual applications are available for your category, with eligibility verified against HRO data for staff or through the existing student records interface for students.
  • Access arranged by your unit — where your unit selects individuals under the arrangement it has advised.
  • Access for a group — where your unit gives access to a defined group.
  • Access for a class, programme or student group — where a service supports an approved class or assessed activity. Use this method whenever access is required for teaching.
  • Access paid for by your unit, programme, course, project or research funding — where a Faculty, Department, unit, programme, course, project or research source pays for access beyond the amount paid centrally by CUHK.

What to prepare

  • Your University role or student category.
  • Whether the request is individual, for a team, for a class or programme-wide.
  • Whether use is compulsory or optional for the activity.
  • The service requested, number of users, start date and access period.
  • The educational, research or operational purpose and expected outcome.
  • The types of data or information involved.
  • Who pays: CUHK, your Faculty, Department, unit or programme, project or research funding, or a combination.
  • Where your unit or funding source pays, use the current values in the access-restricted funding reference. Contact your unit coordinator or the ITSC Service Desk for access.
  • Any existing licences or orders, so that duplication can be avoided.
  • Training, language, accessibility and support requirements.

Access periods are normally annual until 30 June. Monthly pro-rata arrangements may be made case by case. Where a centrally supported application is approved partway through the year, the working assumption is that access runs to the next 30 June, with justified exceptions allowed.
